Document Storage Tips for Crisis Situations: 8 Practical Measures

8 practical tips for securing important documents before and during a crisis — from fireproof boxes to encrypted USB sticks and evacuation envelopes.

Tip 1: Use a Grab-and-Go Envelope

Prepare an envelope near the front door with copies of all critical documents. In an evacuation with 5 minutes warning, you grab the envelope and go. No searching, no panic decisions.

Contents: ID, health insurance card, emergency contacts, insurance policy numbers, cash (200 Euro minimum).

Tip 2: Fireproof Box — But Accessible

A fireproof document box only helps if it's accessible quickly. Avoid storing it in locked rooms, attics, or hard-to-reach places. Keep it where you'd naturally grab it under pressure.

Selection criteria: B 30 fire rating, waterproof preferred, no combination lock (forgettable under stress — use key instead).

Tip 3: The 3-2-1 Backup Rule for Documents

Like digital data: 3 copies, 2 different media types, 1 offsite.

  • Copy 1: Physical originals in fireproof box
  • Copy 2: Encrypted USB stick at home
  • Copy 3: Encrypted USB stick at trusted family/friend's location

Tip 4: Scan Documents at 300 dpi

Scans need to be legible enough for official use. 300 dpi minimum for all documents. Save as PDF with consistent naming:

Tip 5: Encrypt Before Uploading to Cloud

Never upload unencrypted document scans to cloud storage. Use end-to-end encrypted services (Proton Drive, Tresorit) or encrypt locally before uploading.

Quick method: 7-Zip with AES-256 encryption. Free, reliable, widely supported.

Tip 6: Laminate the Most Important Cards

Laminating your ID copy, insurance card copy, and emergency contact list adds waterproofing and makes them evacuation-ready without a wallet.

Cost: 10–15 Euro at any print shop or with a home laminator.

Tip 7: Keep a Physical Address Book

Phone numbers stored only on a phone become inaccessible when the phone is dead or broken. Maintain a small printed address book with 10–20 key contacts (family, doctors, insurance, employer).

Update it annually and store with your document envelope.

Tip 8: Brief Your Family

Document security only works if others know where documents are. Brief all adult household members:

  • Location of the fireproof box (and where the key is)
  • Location of the grab-and-go envelope
  • Password/passphrase for encrypted USB sticks (written down, stored securely)
